Regulations of the Project
“Education Without Borders for Medical Programmes at UJK”
Implemented under the SPINAKER NAWA 2024 programme
1. Glossary of terms
Expressions used in these Regulations mean:
- Project – the project “Education Without Borders for Medical Programmes at UJK”, agreement number: BPI/SPI/2024/100021/U/00001 under the SPINAKER – Intensive International Education Programmes – call 2024, financed from the European Social Development Funds 2021–2027 (FERS).
- University – Jan Kochanowski University in Kielce, hereinafter UJK, the Beneficiary of the Project “Education Without Borders for Medical Programmes at UJK”.
- Project Participant – students, PhD candidates and representatives of academic staff (research, teaching, or scientific staff) from abroad participating in the Intensive International Education Programmes.
- IIEP– Intensive International Education Programme implemented under the project “Education Without Borders for Medical Programmes at UJK”.
2. General provisions
- The present Regulations set out the objectives and assumptions of the Project, the recruitment rules and the rights and obligations of participants of the Intensive International Education Programmes implemented under the Project.
- The provisions of these Regulations are consistent with:
a) the NAWA call documentation for the SPINAKER programme (Call Announcement, Beneficiary Manual, Grant Agreement),
b) the internal normative acts of the Project Implementer,
c) generally applicable law, in particular the Act of 20 July 2018 – Law on Higher Education and Science and the Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR). - The organiser of support and the entity responsible for conducting recruitment, implementing the programme and coordinating project activities is Jan Kochanowski University in Kielce, Collegium Medicum, with its registered office at al. IX Wieków Kielc 19a, 25-317 Kielce.
- Support provided to Participants under the Project is free of charge, financed from the European Union funds under the European Social Development Fund (FERS) and delivered in accordance with the principle of equal opportunities and non-discrimination.
- All IIEP’s will be conducted in English, supporting internationalisation and exchange of good practices in line with the objectives of the SPINAKER programme and the National Agency for Academic Exchange (NAWA).
- The Project implementation period covers the period from 1 June 2025 to 31 July 2026.
- Jan Kochanowski University in Kielce informs about the possibility to report suspected non-compliance of the Project or Beneficiary activities with the Convention on the Rights of Persons with Disabilities, adopted in New York on 13 December 2006 (Journal of Laws of 2012, item 1169, as amended), hereinafter “CRPD”. Signals, reports or complaints concerning the occurrence of non-compliance of FERS projects with the provisions of the CRPD may be submitted by natural persons (project participants or their proxies and representatives), institutions participating in the implementation of European Union funds, social parties (associations, foundations), by means of (in each of the cases below a submission is considered delivered in written form):
- traditional mail – by letter to the ministry at: Ministry of Funds and Regional Policy, 2/4 Wspólna St., 00-926 Warsaw,
- the e-PUAP inbox of the Ministry of Funds and Regional Policy.
- A Project Participant has the right to report special needs related to using support under the Project, including among others adapting teaching materials, a sign language interpreter or specific dietary requirements during an activity in which catering is provided to participants.
3. Objectives and assumptions of the Project
- The objective of the Project is to develop and implement IIEPs which will broaden the educational offer of the UJK Medical College aimed at foreign participants, increasing the internationalisation of the education process at UJK.
- Furthermore, implementation of the Project contributes to raising the language and specialist competences of the teaching staff of the UJK Medical College.
- Support offered under the Project is intended to enable participation in Intensive International Education Programmes (IIEP) for a wide group of foreign participants — both students of medical and paramedical fields and representatives of academic teaching staff — by removing financial and organisational barriers. Through this support the Project guarantees equal opportunities for participants from different countries, promotes academic mobility, increases the internationalisation of the UJK Medical College and strengthens global exchange of knowledge and experience in the area of medical sciences and health sciences.
- The target group of project activities are students (28 persons), PhD candidates (4 persons) and members of staff from foreign higher education institutions (38 persons), recruited to participate in the developed IIEPs.
- The Project includes the following tasks:
- Raising the competences of the UJK Medical College staff involved in creating and delivering the IIEPs,
- Creation, preparation and implementation of the IIEP programmes,
- Coordination, recruitment and organisation of the IIEPs.
- The Project includes the creation and launch of five IIEPs in the area of medical sciences and health sciences dedicated to foreign students, PhD candidates and members of foreign academic staff. The subject of each IIEP was developed taking into account the current needs of the international academic environment and the requirements of modern medical education, particularly the demand for practical skill teaching in the proposed medical and health science areas. The Project includes the following IIEPs with their detailed aims:
6.1. IIEP “Insertion of a short peripheral cannula under ultrasound guidance” aims to develop the knowledge and skills of nurses in safe infusion and cannulation under ultrasound guidance and to enhance competencies through clinical simulation. It will allow participants to acquire practical knowledge in the aforementioned areas and to improve team working skills within the therapeutic team.
6.2. IIEP “Medical Emergency Procedures” aims to increase the practical competencies of paramedic students in response to the continuous increase of requirements and the extension of authorisations among paramedics.
6.3. IIEP “The importance of physiological spinal extension – from birth to adulthood” aims to develop knowledge and skills of academic teaching staff in the diagnosis and therapy of spinal dysfunctions across different age groups.
6.4. IIEP “Summer School of Dermatology and Allergology” aims to develop diagnostic competencies and practical skills in the recognition and management of patients suffering from allergic skin and respiratory diseases.
6.5. IIEP “Research Methodology and Biostatistics” directed at academic teaching staff, enabling participants to gain knowledge and practical skills in modern data analysis methods and aims to meaningfully improve the reliability of research results, their interpretation and presentation in scientific literature. - Support for participants includes free participation in IIEPs under the rules set out in §6 of these Regulations.
4. Project personnel
The following personnel will be appointed within the Project to carry out specific tasks:
- Project Manager,
- Specialist for International Programmes,
- IIEP Coordinators,
- IIEP Lecturers/Instructors,
- Simulation Technicians,
- IT Specialist,
- Specialist for Language Proofreading,
- Specialist for Monitoring Indicators and Evaluation.
5. Recruitment rules
- Recruitment of participants for the Project is conducted by the Project Implementer.
- Recruitment will be external in nature.
- Recruitment will be carried out at the UJK Medical College; dates for recruitment of participants for particular IIEPs will be announced on the subpage https://cm.ujk.edu.pl/..... Interested applicants are required to submit an application form together with declarations/documents/copies confirming that they meet specified recruitment criteria. The form will be available directly on the subpage https://cm.ujk.edu.pl/.....
- Project participants may be persons holding the status of student or PhD candidate at a foreign higher education and science institution, or persons belonging to the academic staff of a foreign higher education and science institution (including university teachers, research staff and research-technical staff), recruited by the Organiser on the basis of the recruitment regulations adopted by the Organiser and the documents submitted by the candidate.
- A person may be a Project participant who has provided their personal data required to deliver the support and confirmed membership of the target group (by submitting appropriate documents and declarations).
- Participant characteristics and qualification criteria have been specified separately for each of the implemented IIEPs and are expressed in §5, items 7–11.
- Participant characteristics and qualification criteria for the IIEP: “Insertion of a short peripheral cannula under ultrasound guidance”
7.1. Participants of the IIEP may only be persons who simultaneously meet all of the following conditions:
a) are representatives of teaching and/or research staff of foreign universities,
b) hold a professional degree of Master of Nursing or an equivalent degree in another country,
c) hold a current and valid nursing licence (the right to practise nursing),
d) possess English language skills of at least B2 level,
e) have independently and voluntarily declared their willingness to participate in the IIEP.
7.2. In the event of more applications than places available in the IIEP “Insertion of a short peripheral cannula under ultrasound guidance”, the following preferential criteria shall apply:
a) possession of a doctoral degree – 3 points,
b) experience in conducting practical nursing education exceeding 3 years – 3 points,
c) English language proficiency above B2 – 5 points,
d) motivation and justification for participation in the IIEP – 0–10 points.
7.3. The minimum number of participants of the IIEP is 10 and the maximum is 18, depending on the allocation of financial resources.
7.4. Application submission deadlines and the planned number of participants will be provided in the recruitment announcement on the UJK Medical College subpages.
Applications will be accepted via UJK’s electronic recruitment system.
7.5. After the deadline indicated in item 7.4 has elapsed, a ranking list will be prepared; on its basis candidates with the highest number of points obtained on the basis of declared achievements will be invited to submit the documentation listed in item 7.6 and to present originals of documents for inspection no later than on the day of commencement of the in-person IIEP classes.
7.6. Candidates qualified for admission to the IIEP shall submit, via the electronic recruitment system, scans of documents in order to confirm eligibility for the IIEP, including scans of documents confirming additional preferential achievements for the IIEP, within the deadline indicated in the electronic recruitment system:- a signed application form (including the declaration of voluntary willingness to participate in the IIEP) – generated and printed from the Electronic Recruitment System;
- a certificate of employment in a teaching or research position at a foreign university;
- a diploma confirming completion of master’s studies in nursing (or equivalent);
- the licence/right to practise nursing;
- GDPR declarations and consent to data processing, signed recruitment regulations;
- a motivation letter in English;
- a CV showing especially the period of professional experience in practical training of nurses;
- a statement of English language proficiency at least B2, or an appropriate certificate confirming proficiency in this language;
- optionally – a diploma confirming the award of the doctoral degree in the field of medical and health sciences, natural sciences or exact sciences.
- Participant characteristics and qualification criteria for IIEP “Medical Emergency Procedures”
8.1 Participants of the IIEP may only be persons who simultaneously meet all of the following conditions:
a) have the status of a 2nd or 3rd year student of first-cycle studies in paramedicine, or a 4th, 5th or 6th year student of medicine at a foreign university,
b) possess English language skills at least at level B2,
c) have no conditional enrolment entry for the current semester,
d) have independently and voluntarily declared their willingness to participate in the IIEP.
8.2. In the event of more applications than places available in the IIEP “Medical Emergency Procedures”, the following preferential criteria shall apply:
a) English language proficiency above B2 – 5 points,
b) motivation and justification for participation in the IIEP, conformity of the candidate’s profile with the course topic – 0–10 points.
8.3. The minimum number of participants of the IIEP is 15 and the maximum is 25, depending on the allocation of funds.
8.4. Application submission deadlines and the planned number of participants will be provided in the recruitment announcement on the UJK Medical College subpages. Applications will be accepted via UJK’s electronic recruitment system.
8.5. After the deadline indicated in item 8.4 has elapsed, a ranking list will be prepared; on its basis candidates with the highest number of points obtained on the basis of declared achievements will be invited to submit the documentation listed in item 8.6 and to present originals of documents for inspection no later than on the day of commencement of the in-person IIEP classes.
8.6. Candidates qualified for admission shall submit, via UJK’s electronic recruitment system, scans of documents confirming eligibility for the IIEP, including documents confirming additional preferential achievements for the IIEP, within the deadline indicated in the electronic recruitment system:- signed application form (including declaration of voluntary willingness to participate in the IIEP) – generated and printed from the Electronic Recruitment System;
- CV;
- a motivation letter in English (up to 1 A4 page);
- a certificate of student status;
- a certificate confirming no conditional enrolment entry;
- a statement of English language proficiency at least B2, or an appropriate certificate confirming proficiency in this language;
- GDPR declarations and consent to data processing, signed recruitment regulations.
- Participant characteristics and qualification criteria for IIEP: “The importance of physiological spinal extension – from birth to adulthood”
9.1 Participants of the IIEP may only be persons who simultaneously meet all of the following conditions:
a) have the status of a student of a foreign higher education and science institution (from at least the 2nd year of first-cycle studies), or a PhD candidate of a foreign higher education and science institution, or academic staff of foreign higher education institutions, in the fields: physiotherapy, rehabilitation, medicine, nursing, occupational therapy and other health sciences,
b) possess English language skills at least at level B2,
c) have independently and voluntarily declared their willingness to participate in the IIEP,
d) have declared readiness for active participation in practical classes conducted using diagnostic systems (DIERS Formetric 4D, ultrasound, sEMG) and case work on clinical cases.
9.2. In the event of more applications than places available in the IIEP “The importance of physiological spinal extension – from birth to adulthood”, the following preferential criteria shall apply:
a) English language proficiency above B2 – 5 points,
b) motivation and justification for participation in the IIEP, conformity of the candidate’s profile with the course topic – 0–10 points.
9.3. The minimum number of participants of the IIEP is 10 (3 academic staff, 1 PhD candidate, 6 students) and the maximum is 25 (8 academic staff, 5 PhD candidates, 12 students), depending on the allocation of funds.
9.4. Application submission deadlines and the planned number of participants will be provided in the recruitment announcement on the UJK Medical College subpages. Applications will be accepted via UJK’s electronic recruitment system.
9.5. After the deadline indicated in item 9.4 has elapsed, a ranking list will be prepared; on its basis candidates with the highest number of points obtained on the basis of declared achievements will be invited to submit the documentation listed in item 9.6 and to present originals of documents for inspection no later than on the day of commencement of the in-person IIEP classes.
9.6. Candidates qualified for admission shall submit, via the electronic recruitment system, scans of documents confirming eligibility for the IIEP, including documents confirming additional preferential achievements for the IIEP, within the deadline indicated in the electronic recruitment system:- signed application form (including declaration of voluntary willingness to participate in the IIEP) – generated and printed from the Electronic Recruitment System;
- CV;
- motivation letter in English (minimum 500 words),
- a certificate of academic status (student, PhD candidate, academic staff),
- a statement of English language proficiency at least B2, or an appropriate certificate confirming proficiency in this language;
- GDPR declarations and consent to data processing, signed recruitment regulations.
- Participant characteristics and qualification criteria for IIEP: “Summer School of Dermatology and Allergology”
10.1 Participants of the IIEP “Summer School of Dermatology and Allergology” may only be persons who simultaneously meet all of the following conditions:
a) are medical doctors employed as teaching and/or research staff at foreign higher education and science institutions,
b) possess English language skills at least at level B2,
d) are ready for active participation in practical classes held in the medical simulation centre and clinical wards,
e) have independently and voluntarily declared their willingness to participate in the IIEP.
10.2. In the event of more applications than places available in the IIEP “Summer School of Dermatology and Allergology”, the following preferential criteria shall apply:
a) English language proficiency above B2 – 5 points,
b) motivation and justification for participation in the IIEP, conformity of the candidate’s profile with the course topic – 0–10 points.
10.3. The minimum number of participants of the IIEP is 5 and the maximum is 15, depending on the allocation of funds.
10.4. Application submission deadlines and the planned number of participants will be provided in the recruitment announcement on the UJK Medical College subpages. Applications will be accepted via UJK’s electronic recruitment system.
10.5. After the deadline indicated in item 10.4 has elapsed, a ranking list will be prepared; on its basis candidates with the highest number of points obtained on the basis of declared achievements will be invited to submit the documentation listed in item 10.6 and to present originals of documents for inspection no later than on the day of commencement of the in-person IIEP classes.
10.6. Candidates qualified for admission shall submit, via the electronic recruitment system, scans of documents confirming eligibility for the IIEP, including documents confirming additional preferential achievements for the IIEP, within the deadline indicated in the electronic recruitment system:- signed application form (including declaration of voluntary willingness to participate in the IIEP) – generated and printed from the Electronic Recruitment System;
- CV;
- covering letter describing scientific interests and teaching activities of the candidate relevant to the summer school topic, in English (minimum 500 words),
- diploma of completed medical studies,
- the licence/right to practise medicine or an equivalent document,
- a statement of English language proficiency at least B2, or an appropriate certificate confirming proficiency in this language,
- GDPR declarations and consent to data processing, signed recruitment regulations.
- Participant characteristics and qualification criteria for IIEP: “Research Methodology and Biostatistics”
11.1 Participants of the IIEP “Research Methodology and Biostatistics” may only be persons who simultaneously meet all of the following conditions:
a) are employed as academic and/or research staff at foreign higher education and science institutions, or hold the status of a PhD candidate at a foreign higher education and science institution,
b) hold higher education (first or second cycle degree or long-cycle master’s) in the field of medical sciences and health sciences,
c) possess English language skills at least at level B2,
d) possess ability to work in a Windows environment and to use Microsoft Office programs (in particular Excel),
e) have independently and voluntarily declared their willingness to participate in the IIEP.
11.2. In the event of more applications than places available in the IIEP “Research Methodology and Biostatistics”, the following preferential criteria shall apply:
a) English language proficiency above B2 – 5 points,
b) motivation and justification for participation in the IIEP, conformity of the candidate’s profile with the course topic – 0–10 points.
11.3. The minimum number of participants of the IIEP is 6 (including 5 academic staff and 1 PhD candidate) and the maximum is 15 (including 10 academic staff and 5 PhD candidates), depending on the allocation of funds.
11.4. Application submission deadlines and the planned number of participants will be provided in the recruitment announcement on the UJK Medical College subpages. Applications will be accepted via UJK’s electronic recruitment system.
11.5. After the deadline indicated in item 11.4 has elapsed, a ranking list will be prepared; on its basis candidates with the highest number of points obtained on the basis of declared achievements will be invited to submit the documentation listed in item 11.6 and to present originals of documents for inspection no later than on the day of commencement of the in-person IIEP classes.
11.6. Candidates qualified for admission shall submit, via the electronic recruitment system, scans of documents confirming eligibility for the IIEP, including documents confirming additional preferential achievements for the IIEP, within the deadline indicated in the electronic recruitment system:- signed application form (including declaration of voluntary willingness to participate in the IIEP) – generated and printed from the Electronic Recruitment System;
- CV;
- covering letter (minimum 500 words),
- certificate of employment at a foreign university (for lecturers) or a certificate of PhD candidate status at a foreign higher education and science institution,
- diploma confirming completion of higher education in the field of medical sciences or health sciences,
- a statement of English language proficiency at least B2, or an appropriate certificate confirming proficiency in this language,
- a statement of the ability to work in a Windows environment and to use Microsoft Office programs (in particular Excel),
- GDPR declarations and consent to data processing, signed recruitment regulations.
- Scans of recruitment documents should be attached in the UJK electronic recruitment system and originals presented for inspection no later than on the day of commencement of the in-person IIEP classes.
- The day of submission of documents by a candidate is the day of their receipt by the Project Implementer.
- In the event of deficiencies in the documentation submitted by the candidate, the Project Implementer is entitled to call on the candidate to supplement those deficiencies within no more than 3 working days from the day of informing the candidate about the deficiencies. Failure to supplement the documents within the required deadline shall result either in rejection of the candidate’s application documents (if the unrectified deficiencies concern proving fulfilment of the conditions for participation in the Project referred to in §3 items 7–11) or in non-award of additional points (if the unrectified deficiencies concern proving fulfilment of preferential criteria).
- Candidates will be informed of the results of the formal verification via the electronic recruitment system.
- A ranking list of persons taking part in the recruitment will be drawn up, from which the number of participants specified for a given IIEP and resulting from the current allocation of funds to IIEP’s (paragraph 3 items 7–11) with the highest number of points will be qualified to participate in the IIEP.
- In the event that candidates obtain the same number of points, the deciding criterion for admission will be the order of applications.
- If the number of candidates who pass the formal verification stage is greater than the number of places provided for the given programme, candidates will be placed on a reserve list.
- Candidates on the reserve list will be successively moved onto the participant list for the given programme in the event of vacancies before the start of the IIEP.
- Candidates will be informed of recruitment results via the electronic recruitment system, immediately after completion of recruitment.
- Candidates accepted to the IIEP are obliged to sign the Declaration of Participation in the Project and to register in the NAWA ICT system https://programs.nawa.gov.pl/register.
- Recruitment documentation is processed and stored with respect for the provisions of the Act of 10 May 2018 on the protection of personal data (Journal of Laws 2019, item 1781, as amended) and Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR).
- If the number of places envisaged for a given IIEP is not filled in the first recruitment process, the Project Implementer will conduct a supplementary recruitment.
23.1 Supplementary recruitment is conducted under the mode and rules set out in §5 of these Regulations, maintaining the same qualification and preferential criteria.
23.2 Information on the supplementary recruitment, together with the number of available places, dates and rules for submitting documents, will be published on the UJK Medical College subpage after the end of the first recruitment.
23.3 Supplementary recruitment continues until the quota of places provided for the given IIEP is filled, but no later than 14 days before the start of its implementation.
23.4 If, after supplementary recruitment, places remain available, the Project Implementer may — while observing transparency and equal access — invite persons meeting the qualification criteria from outside the original target group, provided that this is consistent with the NAWA SPINAKER call documentation.
6. Rules of provision of support
- Support provided to Participants within the Project is free of charge, financed from European funds from the European Social Development Fund 2021–2027 (FERS), NAWA Project entitled “Support for the creation and implementation of international education programmes”, project number FERS.01.05-IP.08-0436/23.
- A Participant may use the support once, i.e. participate in an IIEP no more than once during the Project’s duration, taking into account all offered IIEPs (5 IIEP programmes).
- The Project ensures equal access to IIEPs for all qualified participants, regardless of gender, nationality, social origin or economic situation.
- Promotion of the IIEPs is carried out in English through information activities conducted on social media, on the project’s dedicated website and with the support of UJK international academic partners, supervised by the Specialist for International Programmes.
- IIEPs are implemented in accordance with the documentation of the IIEPs approved by the Rector of UJK and the schedule, taking into account the planned learning outcomes covering knowledge, skills and social and professional competences, in accordance with the European approach to outcome-based teaching, and their didactic quality is overseen by the IIEP’s Subject Coordinator and the Specialist for Monitoring Indicators and Evaluation.
- The standard of requirements characterising competences acquired as a result of the support and the criteria for evaluating learning outcomes upon completion of the support are described in detail in the IIEP Programmes, which are annexes to these Regulations.
- Verification of achievement of learning outcomes takes place using appropriate didactic and examination tools (tests, practical observation, OSCE, course projects), described in detail in the IIEP Programmes which are annexes to these Regulations, and participants will receive micro-credentials confirming the acquired competences.
7. Rights and obligations of a Project Participant
- A Project Participant is entitled to free participation in one of the proposed IIEPs during the Project.
- A Project Participant is obliged to:
- familiarise themselves with the content of these Regulations and provide written consent to accept its provisions, which is confirmed by submitting the Participant’s Declaration of joining the Project;
- create an account in the NAWA ICT system (https://programs.nawa.gov.pl/register) and complete and submit the electronic participant form. This form constitutes the basic registration document of the participant in the SPINAKER project and is mandatory for all persons qualified to participate in the courses. The University verifies the correctness of data entered into the system.
- participate in the indicated form of support from the moment of applying for participation in the Project and receiving information about being qualified;
- undergo evaluation tests and/or a competence inventory of the Project Participant at the start and at the end of the support form in the Project in accordance with the provisions of the Regulations;
- complete surveys and tests indicating the level of competences;
- provide the required data necessary for the Project Implementer to fulfil monitoring and reporting obligations;
- regularly and punctually participate in the forms of support run under the Project according to the established schedule;
- inform about any changes in the Participant’s data (especially changes to surname, telephone contact, e-mail address) provided in the personal data form, within 7 days of their occurrence; in case of such changes the Participant shall submit to the IIEP coordinator a form updating personal data;
- consent to the free use of their image and teaching materials (including statements, recordings, photos involving the Participant) created during the Project implementation, for promotional and informational activities conducted by the Organiser and/or NAWA;
- participate in the Project evaluation process carried out by NAWA, including, inter alia, completion of an evaluation questionnaire after finishing participation in the IIEP;
- comply with the rules of these Regulations, internal regulations in force at Jan Kochanowski University in Kielce and generally accepted academic norms and ethical standards.
- In the event of a final decision by the authority supervising the expenditure of funds that undermines the legitimacy of the University’s expenditure of funds allocated for Project implementation or if additional costs must be incurred by the University, in particular in the event of a Participant’s resignation from participation in the Project for reasons other than those specified in §7 item 4, the Project Participant whose action or omission formed the basis for the demand for reimbursement or the incurrence of additional costs by UJK may be obliged to return to UJK all costs incurred by it connected with resignation from participation in the Project.
- A Project Participant has the right to resign from participation in the Project in the event of important reasons which could not be foreseen at the recruitment stage. In the event of such circumstances, the Participant is obliged to immediately submit a resignation from participation in the Project together with the reason for it. It is desirable to attach a document and/or certificate confirming the situation that prevents participation in the Project. Information on the resignation should be delivered directly or sent by e-mail to the University. In the absence of delivery of the documents indicated in the previous sentence, the resignation from participation in the Project may not be recognised as resulting from important reasons, and consequently the University will be entitled to pursue the claims referred to in §7 item 3.
- In the event of resignation described in §7 item 4, the Project Participant is obliged to return funds received from the University to cover maintenance and accommodation costs and travel costs and stipend, if these were received before submitting the resignation, within 5 days from the day of submission of resignation.
8. Personal data
- The administrator of personal data of participants of the Intensive International Education Programmes (IIEP) is Jan Kochanowski University in Kielce, ul. Żeromskiego 5, 25-369 Kielce.
- Personal data of participants are processed for the purpose of conducting recruitment, implementing and settling the SPINAKER Project, including in particular:
a) registration of participants in NAWA’s ICT system and handling of participant forms,
b) verification of the correctness of data submitted in electronic forms,
c) fulfilment of reporting obligations towards NAWA. - The legal basis for data processing is Article 6(1)(c) GDPR (performance of a legal obligation incumbent on the controller) and Article 6(1)(e) GDPR (performance of a task carried out in the public interest).
- A participant qualified to take part in the IIEP is obliged to set up an account in NAWA’s ICT system (https://programs.nawa.gov.pl/register) and submit the electronic participant form.
- The Organiser verifies the correctness of the data contained in the electronic form and stores its copy in accordance with NAWA’s guidelines.
- Participant data are processed for the period necessary for the implementation and settlement of the Project and stored in accordance with applicable laws and NAWA guidelines.
9. Final provisions
- In justified cases, the University reserves the right to amend the content of the Regulations during the Project’s duration, including when the need to make a change arises from provisions of law, provisions of the Project grant agreement, recommendations of the intermediate and/or funding institution and when the introduction of a change is justified by the need for proper implementation of the Project.
- An amendment to the Regulations takes effect on the next day after the date of its announcement in the manner adopted for announcing the Regulations.
- These Regulations are announced by posting on the website https://cm.ujk.edu.pl/................ and are also available at the Project Office.
- The Regulations and their amendments require approval by the Rector of Jan Kochanowski University in Kielce or a person authorised by him.
- Participants of the Project shall be informed of any amendments to the Regulations by electronic means (e-mail) and via the Project website.
- In matters not regulated by these Regulations, decisions shall be taken by the Project Manager in consultation with the project team, in accordance with the NAWA call documentation and applicable law.
